PRIVACY NOTICE AND FAIR PROCESSING NOTICE

 

Agnes Daniel (Director - Pelican Music) will be what is known as the ‘Data Controller’ of the personal data you provide to us. Claire Lovell (Head of Finance - Pelican Music) will act as deputy ‘Data Controller’ in the absence of Agnes. We are registered with the ICO in accordance with the UK General Data Protection Regulations (UK GDPR).

What do we need?

Unless otherwise agreed with you, we will only collect basic personal data about you and/or your child. This information includes name, home address, email address, telephone number(s) and date of birth.

 

Why do we need it?

We need to know basic personal data in order to supply you with the services you have engaged us to provide, and to assert our right to be recompensed in return for these services as per the agreement we have with you. We will not collect any personal data from you that we do not need in order to supply and oversee the services we have agreed to provide you with.

 

What will we do with it?

All the personal data we hold about you will be processed by Pelican Music Ltd in the UK; however, some information is shared with companies who are not based in the UK, and therefore may be stored on servers in their own country. The information is shared with the following third-party organisations:

  • Email management company (HelpScout)

  • Registration and billing system (Retool)

  • Payment system (Stripe)

  • Examination boards (as applicable)

 

We are content to the best of our ability that these organisations have secure servers and are compliant with the GDPR. No other third-parties will have access to your personal data unless there is a legal obligation for us to provide it. We will take all reasonable steps to ensure that your personal data is processed securely.

 

Your child’s details are also provided to their teacher via our secure registration system, which requires security authentication each time it is used.

 

How long will we keep it?

We will generally keep your personal data for a minimum of six years, after which time it will be destroyed if it is no longer required for the lawful purpose(s) for which it was obtained. If you consent to marketing, any information we use for this purpose will be kept with us until you notify us that you no longer wish to receive this information.

 

Opt-in

In order for us to continue providing you with the service for which we are engaged, we require your explicit consent to opt-in. We must also tell you that you have the right to refuse consent and the right to withdraw any personal data held about you at any time. If you wish to withdraw the data held, please contact us by email and we will remove such data as soon as possible. We regularly review the consents you’ve given and the way we handle such data.

By signing up for lessons with Pelican Music you consent to the storage and usage of your personal data as described above. You have the right to withdraw consent at any time and ask for any personal information held to be destroyed.

 

Consent - photo and video

One of the ways in which we celebrate progress and achievements is by occasionally taking photos and videos at private lessons, workshops, and performances etc. These may be shared on our website and social media accounts. The sign-up form asks whether you give permission for photos of the student to be taken during private lessons, workshops, performances etc. to be featured on the Pelican Music website and/ or social media. You can withdraw consent at any time, and ask for any photos held to be destroyed or removed.
